The problem

Right now the record lives in a paper logbook, a PIMS that was not designed for DEA reporting, and a spreadsheet somebody rebuilt after the last inspection. The plan for the day is a paper sheet that somebody retypes later.

Reconciling those takes days, and it happens under the worst possible circumstances: after an inspector has already asked.

What it does

  • The log falls out of the plan.

    Plan the procedure, then link the bottle to the draw. The controlled-substance record is a byproduct of work somebody was already doing, instead of a second job done from memory at the end of the day.

  • One running balance per bottle, continuously.

    Not reconstructed at audit time. The number is right when you look at it, because it was right at every entry.

  • Entries that cannot be silently edited.

    Corrections are recorded as corrections, with who and when. That is the property an inspector is actually testing for, and the one a spreadsheet can never have.

  • Mobile and location reconciliation.

    Doses administered away from the clinic land in the same ledger as the ones that did not, which is where most practices’ paper trails quietly diverge.

  • Nothing is trapped in it.

    Inspection reports come out as CSV. It is your data, in a format any other system can read, without asking anyone’s permission or paying for the privilege of leaving.

Custodia is a small piece of software for a specific problem, built properly. Practices are asked to prove something exact using tools that were never designed to prove it, and then judged on the difference. That is a solvable problem, and it is worth solving properly rather than cheaply.
